Choosing a school management system in Kenya
The best school management system for a Kenyan school is the one that fits how Kenyan schools work: the CBC, M-Pesa, SMS to parents, NEMIS and the Data Protection Act. These are the questions worth asking any provider before the school commits, and what to look for in the answers.
Curriculum and grading
- Are both CBC scales built in: four levels to Grade 6, eight levels for KJSEA and senior school?
- Can each class follow its own scale, and can the school set its own ranges, points and remarks?
- Does it record assessment by strand and sub-strand, and print report cards parents understand?
Fees and money
- Do M-Pesa payments go to the school's own paybill or till, or through the provider's account?
- Are paybill payments matched to learners automatically?
- Are there fee structures with vote heads, receipts and statements in KES?
Parents, staff and records
- Does it send SMS to parents, and is there a parent portal where they see only their own children?
- Can the school control what each member of staff sees: teacher, bursar, nurse, Director of Studies?
- Does it hold NEMIS/KEMIS UPI numbers and export for the national register?
- Can existing records come in from Excel, so the school does not start from nothing?
Safety and the long term
- Is it clear that the school is the data controller under the Kenya Data Protection Act, 2019?
- How is data backed up, and for how long can it be recovered?
- What happens to the school's data if it stops using the system?
- Does it work on phones and patchy connections, and is there support from people who know Kenyan schools?
- Can the school try it with its own classes before paying?
How Skulink answers
Skulink was built for these questions: both CBC scales, M-Pesa to the school's own paybill, SMS and a parent portal, NEMIS/KEMIS numbers, imports from Excel, records kept apart per school with 30-day recovery, and the school as data controller. Every school starts with a free 30-day trial of the whole system.

Common questions
- Which schools is Skulink for?
- Public and private schools in Kenya: primary, junior school and secondary, day and boarding. Each school sets up its own classes, subjects and grading, so it fits the way the school already works.
- Do we have to use Skulink's paybill?
- No. Each school uses its own paybill or till, with its own M-Pesa (Daraja) keys. Only the school's administrator can change them, with a code from an authenticator app, and every change is emailed and texted to all of the school's administrators.
- Does Skulink comply with the Kenya Data Protection Act?
- Skulink processes school records under the Kenya Data Protection Act, 2019. The school is the data controller for its learners', parents' and staff's information, and Skulink is the data processor, acting only on the school's instructions. See the privacy policy for details.
- What happens to our data if we stop using Skulink?
- The records are the school's. When a school leaves, its account is archived: nobody can sign in, but nothing is deleted. Everything stays for 90 days, and a school that returns in that time picks up where it left off; it can ask for an export at any time before then. After 90 days everything is deleted for good, and only Skulink's record of what the school paid is kept.
