Free school management software in Kenya

Free school management software is worth a look, but "free" rarely means no cost. A school pays for a system one way or another: in money, in staff time, or in the risk of losing its records. Knowing where the costs sit helps a school compare a free option fairly with a paid one.

Where the costs usually are

  • SMS: every message to a parent costs money, whatever the software costs.
  • Hosting: open-source systems need a server, someone to run it, backups and updates.
  • Setup: entering learners, classes and fee structures, and training staff.
  • Kenyan fit: a general system may need work before it handles the CBC scales, M-Pesa or NEMIS.
  • Limits: free plans often cap learners or leave out fees, report cards or parent access.

Questions to ask a free option

  • Who backs up the school's data, and can it be recovered if a computer fails?
  • Who is responsible for the data under the Kenya Data Protection Act, 2019?
  • Who answers when something goes wrong in the middle of exams or on closing day?
  • Can the school take its records with it if it moves on?

Try before you pay

A free trial of a complete system is often a better test than a free system with parts missing. The school can bring in its own learners, run a week of registers or a set of marks, and see whether it fits before any money changes hands.

How Skulink does it

  • Every school starts with a free 30-day trial of the whole system, with no payment needed to begin.
  • Learners, parents, fee balances and past marks import from Excel, so the trial runs on the school's own records.
  • Nothing to install and no server to keep: Skulink runs on the web, with apps for Windows, macOS, Linux and Android.
  • Plans are arranged with each school after the trial.

Common questions

Is there a free trial?
Yes. Every school starts with a free 30-day trial of the whole system, with no payment needed to begin.
Can we bring our existing records?
Yes. Import data (in the administrator's menu) brings in 30 kinds of record from Excel or CSV: classes, subjects and facilities; teachers, support staff, learners, parents and alumni; fee structures, balances, payments, income and expenses, and payslips; attendance and past exam marks; boarding, transport, clubs, discipline and sick bay; the library, the store and the calendar. Upload the sheet you already have, from any system: Skulink finds the headings, guesses which column is which for you to correct, and reads tables laid out with a column per grade or per day. Every row is checked before anything is saved, and anything that does not fit is named on its row, ready to fix and upload again. Imported history texts no parent, old fee receipts and stock counts are never counted twice, and imported phone numbers sign nobody in until they are confirmed with a code. With its records imported, a school is up and running within a week.
Do we need to install anything?
No. Skulink runs on the internet, so there is no server to buy and nothing to install on the school's computers. Teachers and parents can add it to their phone's home screen if they wish.
Is our data backed up?
Yes. Each school's records can be recovered to any point in the last 30 days, and a copy is taken every night and kept for 90 days.
