Generating student report cards in Kenya
Report cards are where a term's marks meet parents. In many schools they are still typed one at a time from a spreadsheet, which is slow and is where mistakes creep in. A report card generator takes the marks the teachers have already entered and produces every learner's card at once.
What a Kenyan report card should carry
- The school's name, logo and letterhead.
- Each learning area or subject with its mark, its CBC performance level or grade, and its points.
- The learner's mean, and their position in the class and stream where the school ranks.
- Remarks from the subject teachers, the class teacher and the head teacher.
- Signature blocks, and the term and year.
From marks to report cards in four steps
- Teachers enter marks once, in a markbook per class and subject.
- The grading scale turns each mark into a level, grade and points; means and positions are worked out from them.
- The class teacher hands results in, and the Director of Studies checks them before anything is released.
- Report cards are produced for the whole class at once, ready to print or share with parents.
Mistakes a generator removes
Copying marks from one sheet to another, sorting positions by hand and working out means on a calculator are the usual sources of a wrong report card. When every card comes from the same marks and the same scale, a correction to one mark corrects the card, the mean and the ranking together.
How Skulink does it
- A markbook that saves as each mark is typed, on the CBC performance levels or the school's own scale.
- Grades, points, means, deviations and class and stream positions worked out automatically.
- PDF report cards on the school's letterhead with remarks, positions and signature blocks.
- Parents notified by app and SMS when results are published, and able to see the card in the parent portal.
- Past exam marks imported from the school's spreadsheets, so each learner's record builds term after term.

Common questions
- Can we print report cards?
- Yes. Report cards are PDFs on the school's letterhead, with the logo, remarks, positions and signature blocks, ready to print or share.
- Who decides when results are released to parents?
- The school. Class teachers hand results in as final, the Director of Studies checks them, and parents see them only once they are published. Every change to marks and publication is recorded with who made it.
- Can we bring our existing records?
- Yes. Import data (in the administrator's menu) brings in 30 kinds of record from Excel or CSV: classes, subjects and facilities; teachers, support staff, learners, parents and alumni; fee structures, balances, payments, income and expenses, and payslips; attendance and past exam marks; boarding, transport, clubs, discipline and sick bay; the library, the store and the calendar. Upload the sheet you already have, from any system: Skulink finds the headings, guesses which column is which for you to correct, and reads tables laid out with a column per grade or per day. Every row is checked before anything is saved, and anything that does not fit is named on its row, ready to fix and upload again. Imported history texts no parent, old fee receipts and stock counts are never counted twice, and imported phone numbers sign nobody in until they are confirmed with a code. With its records imported, a school is up and running within a week.
- Can we use our own grading scale?
- Yes. A school can set its own grades, points, ranges and remarks, and choose which scale each class follows, alongside the built-in CBC performance levels.
